When I called to make my first appointment, I was seeking a new doctor having recently relocated to the area.
When I showed up for my exam, I was told that I owed a copay. Knowing my annual exam should be fully covered, I asked that they run the insurance first expecting that to solve the problem.
When I received a bill from them, I called insurance to get clarification but was rerouted to the Billing Department. When I spoke with Billing, I was told they would contact the physician to get clarification. After two weeks without an update, I called back and was told I needed to contact the physician but was also threatened that my bill was going to collections if I didn't pay--my bill has aged a total of 2 weeks since receiving it.
When I called the physician's office on a Wednesday, a very nice young lady told me that the staff should be telling all new patients that the initial visit is an office visit until the physician "assumes care." Obviously, I was not told this in either my phone call to schedule the appointment or when I showed up for said appointment. She referred me to Matt, her supervisor for further follow-up. I was told he would be in contact with me before the end of the week. Having not heard from him by the following Wednesday, I called again to follow up and left a voicemail. He called me the following Monday to tell me he would speak to the physician when he is back in the office on Wednesday and will get back to me.
By Friday, I hadn't heard from Matt so I called him that morning and left a voicemail. Still not having heard from him by Friday at 2ish, I called again and was told he was at lunch. He finally called back around 5--last thing to in summary say, "Sorry that our office staff didn't tell you what our process is and that the 2-minute conversation that the doctor initiated of a 60-minute visit triggered this... but pay us."
In summary:
1. The office had two opportunities to tell me about their SOP and neglected to.
2. The Billing Department and their doctors' offices don't communicate with each other but instead pit the patient between the two.
3. The Billing Department leads with threats of sending your bill to collections if your bill isn't settled almost immediately.
4. This particular office will not return your phone calls unless you pester them about it--probably thinking you'll grow tired and give up.
5. The particular office doesn't prioritize customer service. If they had, A) they would call you back, B) they would accept responsibility for their clerical error having already admitted to it, and C) recognizing that the 2-min conversation--which didn't lead to any care-- dominated the billing.
Everything that is wrong with the healthcare system was exemplary from this office. Billing over people.
